Records Supervisor

 

Job Description:

  • Supervise the daily operation of the Records Department in the NYC office including, but not limited to, the retrieval and management of hard copy documents and records from in-office and off-site locations.

  • Supervise and mentor team of records clerks, including monitoring of daily departmental workflow and delivery of ongoing training and mentoring.

  • Handle file relocation and cleanup, transfers, office moves and file space allocations within the NYC office.

  • In conjunction with the Director, update and oversee the implementation of the Firm’s Records policies and other applicable Firm policies.

  • Assist the Director to develop the department’s annual budget, formal and informal evaluations of department staff and personnel decisions, maintenance of vendor relationships relating to off-site storage and review and revisions of contractual arrangements.

  • Investigate and document all system or process related issues and follow up as necessary to resolve issues.

  • Stay abreast of and recommend best practices for recordkeeping by law firms to the Director.

 

Minimum Requirements:

  • Bachelor’s degree or equivalent combination of education and work experience.

  • Minimum 5 years records supervisory experience in a law firm or other professional services environment, preferably including paper and electronic management systems.

  • Strong organization, planning, presentation and written and oral communication skills.

  • Strong computer skills and a willingness to learn and master database applications and new software.

  • Demonstrated self-motivation and sound judgment in a fast paced environment.

  • Knowledge of various types of legal and litigation documents and ability to handle sensitive and/or confidential material.

  • Exceptional detail orientation, ability to prioritize and timely handle multiple tasks, and meet deadlines.

  • Professional demeanor and ability to effectively represent the Firm.

  • Ability to lift and move boxes up to 40 pounds.

 

 

File/Records Clerk

 

Responsible for the management of the files and important documents that are maintained by the Firm.  Good customer service and management skills required for maintaining the Integrity of the filing system and assisting attorneys and staff members with their daily requests. Maintains safe and clean work environment by complying with procedures, rules and regulations; gathers and delivers various files to attorneys during daily runs; prepares labels and folders for new cases; rearranges materials for space allocations; and files documents and redwelds in designated areas on a daily basis.  Must be proficient with in-house software applications to maintain and research records in the file management system.  Maintains confidentiality of the files and ensures that they are not handled or viewed by any unauthorized person. 

 

Qualifications: 2-3 years of private law firm experience; proven knowledge of Microsoft WORD and Outlook; good customer service skills; team player with good interpersonal and customer service skills;
